Business Manager – Operations & Administration

Reports To: CEO/Owner
Compensation: $75,000–$90,000 annually, depending on experience and qualifications

About SFTY LTD.

SFTY LTD. is a Calgary-based occupational health and safety consulting company providing professional safety services to clients across a range of industries. We are a small business, and that is important to understanding this position.
At SFTY, people do not operate within narrow corporate job descriptions. We work as a team, solve problems as they arise, and do what is required to support our clients and keep the business operating effectively.
We are looking for an experienced Business Manager who understands that environment and wants to play an important role in the day-to-day operation and continued growth of the company.

The Position

Reporting directly to the CEO/Owner, the Business Manager will oversee and coordinate the day-to-day business, financial, administrative, and operational functions of SFTY LTD.
This is a hands-on position.
The successful candidate will be responsible for keeping the administrative side of the company organized and moving forward while providing the CEO/Owner with reliable information, follow-up, and support.
This person will not simply delegate work or manage from a distance. On any given day, the Business Manager may be preparing an invoice, reviewing accounts receivable, setting up a new client, assisting with a proposal, resolving a scheduling issue, reviewing employee time, dealing with a vendor, updating a spreadsheet, improving a business process, or responding to a client question.
We are looking for someone who sees what needs to be done, takes ownership, and follows it through to completion.

Key Responsibilities

Business Operations

  • Coordinate the day-to-day administrative and business operations of SFTY LTD.
  • Establish and maintain organized and efficient business processes.
  • Identify gaps, inefficiencies, and recurring administrative issues and develop practical solutions.
  • Maintain calendars, deadlines, recurring business requirements, and internal follow-up.
  • Coordinate communication and information between the CEO/Owner, employees, contractors, clients, vendors, and external service providers.
  • Ensure commitments, deadlines, and required follow-up are not missed.
  • Assist the CEO/Owner with business planning, priorities, and operational decision-making.
  • Develop and maintain procedures for key administrative and business processes.
  • Take ownership of routine business matters so they do not require unnecessary involvement from the CEO/Owner.

Accounting & Financial Administration

  • Manage day-to-day accounts receivable and accounts payable processes.
  • Prepare and issue accurate client invoices in accordance with contracts, purchase orders, approved rates, and billing requirements.
  • Monitor outstanding receivables and follow up professionally and consistently on overdue accounts.
  • Review vendor invoices and supporting documentation.
  • Assist with account and credit card reconciliations.
  • Maintain organized financial records and supporting documentation.
  • Review employee and contractor time entries for completeness and accuracy.
  • Ensure daily time entry and supporting information are completed as required for accurate client billing.
  • Coordinate information required for payroll processing.
  • Assist with expense reporting and documentation.
  • Maintain appropriate accounting and administrative controls.
  • Work with the company’s external accountant, bookkeeper, and other professional advisors as required.
  • Prepare regular financial and operational reports for the CEO/Owner.
  • Assist with budgeting, cash-flow monitoring, forecasting, and business-performance tracking.
  • Identify billing, collection, or expenditure issues before they become larger problems.

The Business Manager is not expected to replace the company’s professional accountant, but must be financially competent and understand sound bookkeeping and accounting practices well enough to manage the company’s day-to-day financial administration.

Client Administration

  • Coordinate the administrative setup of new clients.
  • Obtain and organize required customer information, contracts, purchase orders, billing contacts, and invoicing requirements.
  • Maintain accurate client records and contact information.
  • Assist with client onboarding and administrative communication.
  • Monitor client-specific requirements, agreements, rates, and billing arrangements.
  • Coordinate completion of vendor or contractor registration requirements where necessary.
  • Help ensure SFTY remains responsive and professional in all client interactions.
  • Follow up on outstanding client information and documentation.

Proposals, Bids & Contracts

  • Assist with preparing proposals, quotations, bids, tenders, and service agreements.
  • Maintain current company information required for bid and prequalification submissions.
  • Coordinate supporting documentation for proposals and client submissions.
  • Track proposal opportunities, outstanding quotations, and follow-up requirements.
  • Maintain organized records of current contracts, approved rates, and client agreements.
  • Review administrative and commercial requirements associated with new work.
  • Assist the CEO/Owner in ensuring contractual and business requirements are understood before work begins.

Scheduling & Resource Coordination

  • Assist with scheduling employees, consultants, and client work.
  • Maintain visibility of upcoming projects, audits, training, testing, and consulting commitments.
  • Help coordinate personnel availability and competing client priorities.
  • Identify scheduling conflicts and work proactively to resolve them.
  • Coordinate travel, accommodations, or other logistics when required.
  • Maintain accurate information regarding upcoming work and resource requirements.

Employee & Contractor Administration

  • Maintain employee and contractor administrative records.
  • Coordinate onboarding and offboarding documentation.
  • Track employment documentation, agreements, and administrative requirements.
  • Assist with vacation, absence, and scheduling records.
  • Maintain required training, competency, and qualification information where applicable.
  • Assist management with recruitment and hiring administration.
  • Coordinate documentation required for payroll and contractor payments.
  • Maintain confidentiality of employee, client, and company information.

Business Systems & Technology

  • Support and administer the software and systems used to operate the business.
  • Maintain organized electronic filing and document-management systems.
  • Ensure information is stored consistently and can be located when required.
  • Assist with implementation of new software and business systems.
  • Look for opportunities to eliminate duplicate work and unnecessary manual processes.
  • Develop templates, trackers, forms, and standardized workflows where they improve efficiency.
  • Maintain accurate customer, vendor, employee, and business information within company systems.
  • Be comfortable learning new technology and determining how to use it effectively within the business.

Vendors, Purchasing & General Administration

  • Coordinate vendors and service providers.
  • Assist with purchasing and ordering as required.
  • Review recurring services and administrative costs.
  • Maintain office and business records.
  • Coordinate insurance, licensing, registrations, and other recurring business requirements as assigned.
  • Assist with equipment, supplies, and inventory administration where required.
  • Deal with routine issues independently and escalate matters that require the CEO/Owner’s involvement.

What This Position Is Not

This is not a traditional corporate management position where most of the work is delegated to administrative staff.
SFTY is a small company.
The Business Manager must be equally comfortable managing the process and doing the work.
There will be days when the priority is reviewing financial information and business performance, and other days when the priority is getting invoices issued, correcting a spreadsheet, calling a client, helping an employee find information, preparing a bid, or solving an unexpected administrative problem.
No reasonable task should be considered beneath the position if completing it helps the business operate effectively.

Qualifications & Experience

The ideal candidate will have:

  • Five or more years of progressive experience in business administration, office management, operations, accounting administration, or a comparable role.
  • Previous experience working in a small or privately owned business is strongly preferred.
  • Demonstrated experience taking responsibility for multiple areas of a business rather than working within a narrowly defined administrative function.
  • Strong practical understanding of accounts payable, accounts receivable, invoicing, and basic accounting principles.
  • Experience working with accounting or bookkeeping software.
  • Strong Microsoft Excel skills and proficiency with Microsoft 365 applications.
  • Experience preparing professional proposals, quotations, bids, reports, or business correspondence.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities without losing track of details.
  • Strong attention to accuracy, particularly with financial and contractual information.
  • Ability to handle confidential employee, client, and financial information appropriately.
  • Strong problem-solving ability and sound business judgment.
  • Ability to work independently with limited supervision.
  • Confidence communicating with clients, employees, vendors, and professional service providers.
  • Ability and willingness to learn new software and business systems.

A diploma or degree in Business Administration, Accounting, Finance, Management, or a related discipline would be considered an asset; however, practical small-business experience and demonstrated ability are equally important.

They know when they can make a decision themselves and when an issue needs to be brought to the CEO/Owner.
Most importantly, they understand that their role is to make SFTY more organized, more efficient, and easier to operate.

Compensation

SFTY LTD. expects to offer a base salary in the range of: $75,000–$90,000 per year

Final compensation will be based on the successful candidate’s experience, demonstrated capabilities, and the level of responsibility they are prepared to assume.
SFTY is prepared to compensate appropriately for a candidate who can genuinely take ownership of the business-management function and become a trusted part of the company’s leadership team.
